Choice Limousine & Sedan Services – Terms & Conditions
By booking with Choice Limousine & Sedan Services, customer agrees to the following terms and conditions:
1. Customer Eligibility
Customer represents that they are at least 18 years of age and legally capable of entering into this agreement under the laws of the Commonwealth of Virginia.
2. Deposits, Payments & Refund Policy
- A 50% non-refundable deposit is required at booking (minimum $150).
- All remaining balances must be paid 48 hours prior to the reservation date.
- Reservations totaling $1,000 or more are 100% non-refundable once paid.
- Deposits and payments are non-refundable and non-transferable.
- Weddings, Proms, and Homecomings require full payment in advance.
- Chauffeurs do not carry change.
- Checks are not accepted unless certified or cashier’s checks received 30 days prior.
- Returned checks are subject to a $100 fee.
3. Cancellation Policy
- All cancellations must be submitted in writing.
- Cancellation fee is 50% of the total rental or $300, whichever is greater.
- Same-day cancellations are 100% non-refundable.
4. Overtime Policy
- Overtime is subject to vehicle availability and billed in full-hour increments.
- Overtime is tracked by GPS and is non-negotiable.
- Chauffeurs cannot waive overtime charges.
5. Waiting Time Policy
Airport Transfers
- 30 minutes complimentary wait for domestic flights
- 60 minutes complimentary wait for international flights
- Waiting time beyond this is billed in 30-minute increments at the contracted hourly rate
- Delays due to customs, baggage claim, or passenger readiness are billable
Non-Airport Services
- Passenger delays beyond scheduled pickup time will incur waiting charges
- Waiting time is billed in 30-minute increments at the contracted hourly rate
6. Tolls, Parking & Access Fees
Customer is responsible for all tolls, parking fees, airport fees, venue access fees, and any other charges incurred during the service. These will be charged to the card on file after service completion.
7. Itinerary Changes & Stops
- Maximum of 3 pickup/drop-off locations unless otherwise agreed.
- Early dismissal, downsizing, or shortened rental time does not reduce price.
- Changes after contract signing incur a $50 change fee.
- Additional stops or route changes may result in additional charges.
8. Passenger Count
- Passenger increases after booking will result in a $100 charge per additional passenger.
- Overloading a vehicle is strictly prohibited and may result in immediate termination without refund.
9. Alcohol, Smoking & Illegal Substances
- Smoking is strictly prohibited in all vehicles.
- No illegal alcohol consumption (passengers must be 21+).
- No narcotics or controlled substances are permitted.
- Violation will result in immediate termination without refund and additional charges.
10. Cleaning & Damage Fees (Auto-Charged)
Customer is responsible for any damage caused by themselves or their guests. Minimum damage charge: $200
- Smoking in vehicle: $400
- Cigarette burns: $500
- Ripped or damaged upholstery: $700
- Spilled drinks: $200
- Stained carpet: $200
- Food or trash cleanup: $500
- Vomit / biohazard cleanup: $1,000
- Lost or broken glassware: $30 per item
- Lost or broken remote: $250
- Excessive mess: $200
11. Chauffeur Authority
Chauffeurs have full authority to terminate service immediately, without refund, if passenger conduct violates company rules, endangers safety, or risks damage to the vehicle.
12. Credit Card Authorization
Customer authorizes Choice Limousine & Sedan Services to charge the card on file for:
- Overtime
- Waiting time
- Tolls, parking, and access fees
- Cleaning or damages
- Unpaid balances
- Additional services rendered
Customer appoints the company as attorney-in-fact for such charges.
13. Limitation of Liability
Except in the case of gross negligence or willful misconduct, customer waives all claims against the company for injury, loss, or damage to person or property.
14. Acts of God / Force Majeure
Company is not liable for delays or cancellations due to weather, traffic, accidents, mechanical failures, or other events beyond its control.
If a replacement vehicle is available, no refund is due. If no replacement vehicle is available, refund is limited to the amount paid.
15. Vehicle Substitution
Vehicles are subject to availability. Specific vehicle requests are not guaranteed. Company may substitute vehicles of equal or greater value.
16. Lost or Left Items
Company is not responsible for lost, damaged, or stolen personal property left in vehicles.
17. Guest Conduct Policy
Company reserves the right to establish and enforce guest conduct rules and terminate service without refund for non-compliance.
18. Contract Modifications
Any additions or alterations not approved in writing by the company are invalid and unenforceable.
19. Collections & Attorney Fees
Unpaid balances accrue 2% interest per month. Customer agrees to pay all collection costs, including attorney fees of 30% of the balance or $250 per hour if balance exceeds $3,000.
20. Governing Law
This agreement shall be governed by the laws of the Commonwealth of Virginia.
